Poster Presentation Guidelines

Poster Specifications

  • Posters should be no larger than 96’’ (L) x 48’’ (H).
  • The presentation number (ex: K-124) assigned to your poster must be placed in the upper left corner of the poster.
  • Include author names and the institution where the work was completed, in large letters centered at the top of the poster. Place your address, phone and fax numbers in the upper right-hand corner.
  • It is suggested that you place a reproduction of the abstract in the upper left side of the poster, and use the headings ”Introduction”, “Methods”, “Results” and “Conclusions” to identify your poster layout
  • Be sure to bring Velcro (easiest to use), pushpins or thumbtacks to mount your poster
  • If you choose not to utilize Call4Posters, you will be responsible for the poster delivery. We suggest that you hand-carry your poster to the meeting using tubular packaging or a portfolio case. DO NOT MAIL YOUR POSTER TO ASM OR THE MEETING SITE.

Call4Posters

Call4Posters is a service that allows you to upload and print your poster online through ICAAC’s Poster Printing Service. Via the internet, presenters will be allowed to upload a professionally created poster as a single-page PDF file or a single-page PowerPoint file to the Call4Posters website and print the file as a large format, single sheet poster. These files will retain their original format. Posters can be picked up on-site at the Call4Posters kiosk. You may upload your poster at www.call4posters.com/icaac.

All posters for print need to be submitted by Tuesday, September 13th by 11:59 PM ET. Rush delivery fees apply.

iPosters

iPosters is a free of charge service that allows you to include your poster in the online poster database. iPosters online poster database will be available for viewing during and after the meeting. iPoster kiosks for poster viewing and printing will be available on-site in the Exhibit Hall. To include your poster in this educational database, please go to www.call4posters.com/icaac.

Tips for Preparation

  • Posters should stimulate discussion; do not give a long presentation. Therefore, keep text to a minimum, emphasize graphics, and make sure every thing in your poster is necessary.
  • Utilize handouts to supplement your poster.
  • Draw a rough sketch of your poster first.
  • You may find it helpful to use graph paper and small pieces of paper (e.g. Post-it® Notes cut to size) to better visualize where the components of your poster will go.
  • Materials must be easily read at a distance of 4 feet. Ordinary type or carelessly prepared handwritten copy is unacceptable. As a rule of thumb, use a font size of at least 14 point and double space.
  • Place related materials (e.g. photo with accompanying text) close together, and then highlight it by framing with blank space.
  • Space your information proportionally: divide your poster either horizontally or vertically into three or four sections, and place your materials within those spaces.
  • When choosing a background, remember that neutral or gray colors will be easier on the eyes than a bright color. In addition, color photos look best when mounted on gray.

Poster Set-up/Dismantle Schedule

  • Posters must be mounted prior to the opening and dismantled after the closing of the hall each day. Posters will remain on display until the end of the day.
  • Poster set-up times are scheduled between the hours of 7:30 am – 11:30 am, Saturday through Monday, and 7:30 am – 4:30 pm on Tuesday.
  • Posters must be dismantled by 4:30 pm Saturday, 5 pm Sunday through Monday, and by 11 am Tuesday. Posters not removed by the designated times will be discarded. Posters mounted before the scheduled time or left from the previous day will be removed from the boards and placed in Poster Storage.
  • You will need to present your letter of acceptance to gain access to the Poster Hall in order to hang your poster.
  • On your assigned date, the Poster Storage Booth will be available in the Poster Hall to check your poster and/or mailing tubes, if needed.

Poster Viewing/Presentation Schedule

  • Posters must be displayed on your assigned date only and should remain on the board until the end of the day.
  • At least one author must be available for presentation/discussion at the designated AM or PM presentation time (refer to your acceptance letter), for a minimum of 2 hours.
